Task

Olive is the automation company for the healthcare system. We’ve asked to build the intranet for Olive employees which is a centralized place to easily find the company information and resources they need. The ask includes:

  • Build the site and structures.

  • Create pages and templates through which the client can manage content and scale features by themselves.

Goal

  1. Make intranet as the easy, organized, and one-stop shop for all resources and communications, but fun to use!

  2. Other Olive channels (Oliveai.com & libary.oliveai.com) link back to the intranet as the single source of truth

  3. Not only creating pages or templates but also considering CMS at the same time.

My Role

  • Worked on information architecture and constructed the site map.

  • Provided content strategy expertise.

  • Developed wireframes for scalable templates on each page level, collaborating closely with designers and developers.

  • Utilized Contentstack to construct templates, ensuring high collaboration with developers.

  • Established guidelines for the client on how to use the templates on Contentstack

What’s been created

  1. Site architecture including nav & footer

  2. Home landing page

  3. Templates for all page levels

  4. Content mapping (26 pages)

  5. Log in authentication

  6. Error page

  7. Search functionality

  8. Onboarding guidelines for the client

  9. Improved design library

Process

Create a site structure and navigation that allows easy access to all resources.

There were a lot of resources but with various formats which were docs, slides, sheets, or even media files. With content audit and collaboration with the client, I constructed the site structure with prioritizing information that allows a user can quickly and easily find what they want.

Templatize page structure for scaleability.

I've created templates that the client won’t be overwhelmed by managing the site, but still, be flexible and scalable with a minimal modular approach.

  • L1/ L2/ L3/ Article templates

  • Customized templates for outlier pages

Create scannable CTAs.

This was one of the parts the client loved the idea. Since it’s the hub for all company resources, most of the CTAs open documents. I created intuitive CTAs so that users can expect what document they will see without actually clicking each of them. In terms of content management, the content manager does not need to worry about what type of icon they will select. The icon is automatically populated depending on its landing page or documentation type, just like magic!

Make the intranet fun and more useful.

The home landing page is the central place for the latest news or announcements. On the left side, users can see the news feed with infinite scroll, but they won’t miss any important content with Don’t miss this section on top. Also, they can access apps and check upcoming events.

I aimed to transform the intranet from a mundane resource hub into an engaging platform that captures employees' excitement right from the start. The solution involves featuring a "Pet of the Week" on both the login page and home landing page, providing a warm and welcoming experience for employees.

Onboard content managers

The intranet was built by Contentstack which is a content management platform that allows developers and content managers to create websites. I’ve set up all templates and page structures in Contentstack with easy and intuitive labels and titles, working closely with our dev team. We also wanted to help the content managers in Olive can easily manage the intranet. So I’ve created guidelines for using templates and step by step process of essential functionalities.
